3. How we collect it

  • Directly from you when you order, create an account, sign up to our newsletter, enter a competition, or contact us.
  • Automatically when you use our website, through cookies and similar tools (see section 8).
  • From third parties such as our payment providers, couriers and website platform, when needed to complete your order.

4. Why we use your information

We use your information to:

  • Process and deliver your orders, and send order updates.
  • Take payments and issue refunds.
  • Answer your questions and provide customer support.
  • Handle returns, complaints and product issues, including recalls if ever needed.
  • Send you newsletters, offers and news, if you’ve agreed to receive them.
  • Improve our products, website and service.
  • Keep our website safe, and prevent fraud and misuse.
  • Meet our legal, tax and accounting obligations.

We’ll only use your information for these purposes, or for a closely related purpose you’d reasonably expect, unless you agree otherwise or the law requires it.

5. Who we share it with

We never sell your personal information. We only share it with trusted businesses that help us operate, and only what they need to do their job:

  • Payment providers (for example VISA, Mastercard and American Express)
  • Couriers and postal services, so your parcel gets to you.
  • Our website and e-commerce platform.
  • Email and marketing services.
  • Accounting, bookkeeping and IT service providers.
  • Analytics and advertising tools, where cookies are used.

We may also share information if the law requires it, to protect our rights, or if our business is sold or restructured (in which case the new owner must respect this policy).

6. Overseas disclosure

Some of the services we use store or process data overseas, for example in the United States or Europe. If we send your information overseas, we take reasonable steps to make sure it’s handled in line with privacy standards similar to ours. International customers should be aware that your information will be transferred to and handled in Australia.

7. How we protect your information

We take reasonable steps to keep your information safe, including:

  • Secure, encrypted checkout (HTTPS).
  • Password-protected systems with limited access.
  • Using reputable providers with strong security practices.
  • Only keeping paper records, if any, in a secure place.

No system is completely secure, and we can’t guarantee absolute security. If a data breach is likely to cause you serious harm, we’ll tell you and the relevant authority as the law requires.

8. Cookies and tracking

Cookies are small files saved on your device. We use them to:

  • Keep items in your cart and keep you logged in.
  • Understand how people use our site so we can improve it.
  • Measure and show our advertising, if we run any.

You can turn off or delete cookies in your browser settings. If you do, some parts of our site (like the cart) may not work properly. You can also opt out of Google Analytics using Google’s browser add-on.

9. Marketing and emails

We’ll only send you marketing if you’ve signed up or agreed to it. You can unsubscribe at any time by clicking “unsubscribe” in any email or contacting us. We’ll still send you essential messages about your orders.

10. Social media and links

Our website and social media may link to other sites. We’re not responsible for their privacy practices, so please check their policies. Social platforms such as Instagram and Facebook collect their own data when you interact with us there.

11. How long we keep your information

We keep information only as long as we need it for the reasons above or to meet legal requirements. For example:

  • Order and tax records: typically 7 years.
  • Marketing list details: until you unsubscribe.
  • Account details: until you close your account.
  • Website analytics data: until you close your account.

When we no longer need your information, we securely delete or de-identify it.

12. Your rights and choices

You can ask us to:

  • Access the personal information we hold about you.
  • Correct anything that’s wrong, out of date or incomplete.
  • Delete your information, where we’re not required to keep it.
  • Stop marketing to you.
  • Explain how we’ve handled your information.

Email us at hello@vanillapodandco.com.au. We may need to confirm who you are first. We’ll respond within 30 days and won’t charge for simply making a request, though we may charge a reasonable fee for unusually large requests where the law allows. If we can’t do what you ask, we’ll tell you why.

13. Children

Our website is not aimed at children under 16, and we don’t knowingly collect their personal information. If you think a child has given us their details, please contact us and we’ll delete them.

14. Complaints

If you’re unhappy with how we’ve handled your information, email us at hello@vanillapodandco.com.au with the details. We’ll investigate and reply within 30 days. If you’re still not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au. If you’re outside Australia, you can contact your local privacy regulator.

15. Changes to this policy
